with DocControl.

Challenge
AKP
used to keep tons of documents in multiple filing cabinets and its large
architectural drawings in fireproof
vertical cabinets. The storage and space requirements were
expensive and in time became inefficient. AKP received a lot of its
general correspondences via paper fax, which was usually photocopied
into many copies for eventual manual distribution to the relevant
architects and draughtsmen. Internal memos and work instructions were
distributed similarly and so were all drawing approvals. AKP found their
entire manual process inefficient,
labour intensive and time consuming.

DocControl Solution
AKP now uses the DocControl system to
register all documents - large CAD drawings and general correspondences
alike. They have installed an electronic fax management software that
enables fax documents to be exported into DocControl for fast
distribution via network. All internal documents are routed via the
DocControl Document Review & Approval Workflow system that tracks
and notifies each approval process. As AKP builds on their electronic
database and files, paper storage requirements gradually reduce and
become easily manageable, and archiving work can be performed quickly
using DocControl’s electronic archiving utility.
