Smart School (TSS) uses the DocControl Document Review & Approval
Workflow to track its storyboards.
Customer
Challenge
TSS,
a Multimedia Super Corridor (MSC) status company, was appointed by the
Malaysian Government via the Ministry of Education to implement the
multi-million dollar Smart School pilot project in ninety schools
nationwide in Malaysia. Its objective is to transform the Malaysian education
system into a highly advanced technology-based process. One of its major
document control requirements was the management of vast quantities of
teaching and learning materials, including proposed storyboards that
arrived in paper form and frequently in A3 sizes. These documents had to
be approved by various sub-contractors and in-house management
personnel. The paper method was labour-intensive, time consuming and
risky since paper documents occasionally got lost.
CDMR DocControl
Solution
TSS implemented the DocControl
Document Review & Approval Workflow system to track and approve its
storyboards. This was achieved by converting and preparing its paper
documents in electronic format; routing them through the workflow system
for the necessary approvals; and automatically publishing the approved
document in the DocControl system. Workers could then use DocControl to
distribute or retrieve their documents. As DocControl provided TSS with
the capability of managing their electronic documents, it also reduced
TSS’s paper filing requirements and will inevitably make archival work
at a later stage much easier and simpler to perform.
